Task Elites Pty Ltd (ABN 56 695 429 611) (“Task Elites”, “we”, “us”, “our”) is committed to protecting your privacy.

This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit our website https://taskelites.com (the “Site”), use the Task Elites operator platform (the “Toolbox”), or otherwise engage with our services (together, the “Services”). Please read this policy carefully.

It is written to comply with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), and, where applicable, the EU/UK General Data Protection Regulation (GDPR).

 

1. Who We Are and Our Role

Task Elites provides a software platform that helps Australian earthmoving, concreting, and landscaping operators (“Operators”) build a landing page, manage enquiries, communicate with their own customers, and set up advertising.

Our role in handling data differs depending on whose data it is:

     Operator data (we are the controller). Information about Operators and their accounts, where we decide how and why it is processed, and this Policy governs it.

     An Operator’s customer data (we are a processor). When an Operator’s customer submits an enquiry, books a call, or exchanges messages, that customer’s personal information is processed on behalf of, and under the instructions of, the Operator, who is the controller of that data. We process it only to provide the Services to that Operator. If you are a customer of an Operator and wish to access, correct, or delete your information, please contact that Operator directly; we will assist them in responding.

 

2. Information We Collect

2.1 Operator account information

Information an Operator provides when they sign up or use the Toolbox, including: name, email address, phone number, business name, business address/service area, domain name, and billing and payment information.

2.2 Operator-uploaded content

Content an Operator uploads to build their page and advertising, including business logos, jobsite photos, and videos.

2.3 An Operator’s customer (lead) information, processed on the Operator’s behalf

When a person submits an enquiry on an Operator’s landing page, or communicates with an Operator through the Services, we process: name, email address, phone number, enquiry details, SMS/text message conversation history, and appointment/booking times.

2.4 Google account information (where an Operator connects Google Calendar)

If an Operator chooses to connect their Google Calendar, we access Google Calendar data solely to create and manage their booking events. See Section 5 (Google User Data).

2.5 Information collected automatically

When you visit the Site or an Operator’s landing page, we may automatically collect: IP address, browser type and version, time zone, operating system, and pages viewed, links clicked, and time spent. See Section 8 (Cookies and Tracking).

 

3. How We Use Information

We use information to:

     Provide, operate, maintain, and improve the Services;

     Build and publish Operator landing pages and stage advertising campaigns at the Operator’s direction;

     Send and receive messages between Operators and their customers, including automated SMS replies that help qualify enquiries and book calls;

     Process transactions and manage Operator subscriptions;

     Communicate with Operators (service updates, support, and, where permitted, marketing);

     Monitor usage and trends to improve the Services and prevent fraud and abuse;

     Comply with our legal obligations and protect our legal rights.

 

4. Artificial Intelligence Processing

Some features use third-party AI services to operate. Specifically:

     Anthropic (Claude) is used to draft text-message replies and assist Operators;

     OpenAI (Whisper) is used to transcribe Operator-uploaded videos;

     ElevenLabs is used for optional text-to-speech.

Content sent to these providers is processed only to deliver the relevant feature. We do not use Operator or customer data to train AI models, and these providers do not use data submitted through their APIs to train their models.

 

5. Google User Data (Limited Use)

When an Operator connects their Google Calendar, we request access only to the scope needed to create and manage their booking events.

Task Elites’ use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

     We use Google Calendar data only to create and manage booking/appointment events on the Operator’s behalf;

     We do not sell or transfer this data to third parties for any other purpose;

     We do not use this data for advertising;

     We do not use this data to train generalized or third-party AI/ML models;

     We do not allow humans to read this data unless we have the Operator’s consent for specific support, it is necessary for security or to comply with the law, or the data has been aggregated and anonymised.

An Operator can disconnect Google Calendar at any time from the Toolbox, which revokes our access.

 

6. Advertising and the Meta Pixel

To deliver the advertising features:

     A Meta (Facebook) Pixel may be placed on an Operator’s landing page to measure page activity and enquiry conversions, at the Operator’s direction;

     We use the Meta Marketing API to build advertising campaigns in the Operator’s own Meta ad account. Campaigns are created in a paused/off state; the Operator activates them and their own payment card pays Meta directly. We do not hold, move, or front Operator ad spend.

Information handled through Meta is also subject to Meta’s own data policies.

 

7. How We Share Information

We do not sell, rent, or trade personal information. We share information in these limited circumstances:

Business transfers. In a merger, acquisition, or sale of assets, information may be transferred to the acquiring organisation.

Legal requirements. We may disclose information where required by law or in response to valid requests by public authorities.

 

8. Cookies and Tracking

We and our providers use cookies and similar technologies to:

     Keep you signed in and operate essential features (essential cookies);

     Understand how the Site and landing pages are used (analytics);

     Measure advertising performance, primarily via the Meta Pixel (marketing).

Most browsers let you refuse or delete cookies via their settings. If you decline cookies, some features may not work properly. By using the Site you consent to our use of cookies as described here.

 

9. International Data Transfers

Some of our providers store or process information outside Australia (including in the United States and the EU). Where we transfer personal information overseas, we take reasonable steps to ensure it is handled securely and consistently with this Policy and applicable law.

 

10. Data Retention

We retain personal information only for as long as necessary for the purposes in this Policy, or as required by law (for example, tax and accounting obligations). Operator-customer data is retained while the Operator’s account is active and is deleted or anonymised on request or when no longer needed. When information is no longer needed, we securely delete or anonymise it.

 

11. Security

We take reasonable measures to protect personal information, including encryption of integration credentials at rest, encryption of offsite backups, access controls, and the bot-protection and security measures provided by Cloudflare. No method of transmission or storage is 100% secure, but we work to protect your information and continually improve our safeguards.

 

12. Your Rights

Depending on your location, you may have the right to:

     Access the personal information we hold about you;

     Correct inaccurate information;

     Delete your information (see Section 13);

     Restrict or object to processing;

     Port your information to another organisation;

     Withdraw consent where processing is based on consent.

To exercise these rights, contact us using the details in Section 15. If you are a customer of an Operator, please also see Section 1, as the Operator controls that data and is your first point of contact.

Australia: If you are not satisfied with how we handle your information, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

 

13. Data Deletion

You can request deletion of your personal information at any time by emailing [email protected] with the subject line “Data Deletion Request”. We will verify your request and delete the relevant information, except where we are required to retain it by law. Operators can also delete their account data, and disconnect integrations (such as Google Calendar), directly from the Toolbox.

 

14. Children

The Services are intended for businesses and are not directed to individuals under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

16. Changes to This Policy

We may update this Policy from time to time to reflect changes in our practices, technology, or legal requirements. We will post the updated Policy on our website, and it takes effect once posted. Material changes will be highlighted where practicable.
